Cancellations/Refunds

1. Overview
Thank you for choosing KClinics for your treatments. This policy outlines the terms and conditions regarding cancellations, refunds, and transfers of treatments, products, gift cards, and pre-paid packages. Our goals are to uphold a high level of service, guarantee transparency, and safeguard your rights. This policy complies with the Consumer Rights Act, General Data Protection Regulation (GDPR), and other applicable UK legislation.
2. Refunds
Refunds are not available for treatments, products, gift cards, pre-paid packages, or treatments that were scheduled and paid for online. Exceptions are outlined below for specific terms related to online purchases. Please get in touch with the clinic management at the place where the purchase or reservation was made if you have an unpleasant response after using a treatment or product. The manager will provide consultation and suggest alternative treatments or products as appropriate. This policy does not affect your statutory rights. Refunds for Prepaid Gift Cards & Packages Purchased Online We look forward to having you visit our clinic and hope you are happy with your purchase. However, for online purchases of pre-paid packages or gift cards, you may request a full refund within 14 days of purchase. Conditions for refunds:
  • Refund requests must be sent by email together with the date of purchase and proof of payment.
  • Refunds are not available for used or partially used pre-paid packages or gift cards.
  • After the 14-day cooling-off period, the standard refund policy applies, and refunds are no longer available.
  • Please be aware that purchases made in the clinic are exempt from the 14-day cooling-off period.
3. Appointment Cancellations
We are aware that things might change. Therefore we respectfully ask for 48 hours’ notice of cancellation in order to maintain a high standard of service for all customers. Terms for cancellations:
  • If the customer cancels less than 48 hours prior to the planned appointment or does not show up, we have the right to keep the deposit or treatment cost.
  • For pre-paid packages, if the customer does not show up or cancels within 48 hours, the entire cost of the treatment will be lost.
  • Please speak with the clinic manager about your alternatives if you become ill within 48 hours of your appointment.
4. Validity Period for Pre-Paid Packages and Gift Cards
Pre-paid packages: Valid for 12 months from the purchase date. Gift cards: Valid for 12 months from the purchase date. Please be careful to arrange appointments prior to the expiration date in order to prevent losing your treatments. Once the validity period expires, pre-paid packages and gift cards become non-refundable. If you are unable to complete treatments due to illness, contact the clinic manager for further assistance.
5.Transfer Policy
Gift cards, pre-paid packages, services and treatments that have been purchased cannot be transferred to another person. Pre-paid packages for specific treatment areas cannot be transferred to other areas. For online purchases, this policy is subject to the 14-day cooling-off period.
6. Exceptions and Special Circumstances
Adverse Reactions: The clinic manager will help address your issue by providing consultations or offering other procedures if you have an adverse response after a treatment or product usage. Force Majeure: In cases of force majeure (e.g., natural disasters, government restrictions), appointments may be rescheduled without any refunds. Contact the clinic manager to discuss possible options. Medical Conditions: Please get in touch with the clinic management, if you are unable to finish your pre-paid package due to a chronic medical condition. Supporting documentation may be required for adjustments.
7. Consumer Rights
This policy does not cancel your statutory rights under UK consumer protection laws. So if you think your rights have been damaged you can get more help from the appropriate regulatory agency.
8. Complaints Procedure
