KClinics uses closed-circuit television (CCTV) at its premises to help keep clients, visitors and staff safe and to protect our property. This policy explains why we operate CCTV, the lawful basis for doing so, how footage is handled, and your rights. We process CCTV footage in accordance with the UK GDPR, the Data Protection Act 2018 and the ICO's CCTV guidance.
We use CCTV to help protect the safety and security of clients, visitors and staff, to prevent and detect crime such as theft or vandalism, to provide evidence in the event of an incident, dispute or complaint, and to assist the relevant authorities where appropriate. We do not use CCTV for any unrelated purpose, and we do not use covert monitoring.
Our lawful basis for operating CCTV is our legitimate interests in protecting people and property and maintaining a safe environment, under Article 6(1)(f) of the UK GDPR. We have considered the impact on individuals' privacy and limit our use of CCTV to what is necessary and proportionate for these purposes. Where footage is shared with the police or used in connection with a legal matter, we may also rely on legal obligation or the establishment or defence of legal claims.
Cameras cover entrances, reception and waiting areas, corridors and other communal or publicly accessible spaces. We do not place cameras in private areas such as treatment rooms or toilets. Clear and visible signage informs clients, visitors and staff that CCTV is in operation and provides our contact details, so that recording is never covert.
Access to CCTV footage is restricted to a limited number of authorised personnel and only for the purposes set out in this policy. We may disclose footage to the police or other authorities where there is a lawful basis to do so, and to insurers or legal advisers where necessary in connection with a claim. Any disclosure is recorded, and requests are checked to ensure they are valid before footage is released.
Footage is stored securely with access controls and is normally retained for around 30 days, after which it is automatically overwritten or deleted, unless it needs to be kept longer for a specific incident, investigation or legal matter. We keep our CCTV system maintained and review its use to ensure it remains necessary and proportionate.
You have the right to request access to CCTV footage of yourself. To make a subject access request, please email hello@kclinics.co.uk with the date, time and location of your visit and enough information to identify yourself, so we can locate any footage. We will respond within one month. To protect the privacy of others, we may need to redact or obscure images of other individuals before releasing footage.
